Church Administrative Assistant
Administrative Assistant Holy Trinity Lutheran Church
The Administrative Assistant will assist the congregation by providing full time support to the pastor, church council, and committee chairs in a wide variety of services, projects, and events. Primary responsibilities will include supervision, administration, and coordination of activities related to effective daily operation of the church.
DUTIES: 1. Support the pastor and program staff as needed in the performance of all activities of the congregation. 2. Supervise office volunteers. Participate in the recruiting and training of office volunteers. 3. Prepare and maintain parish files, records, reports, and correspondence including those of a sensitive or confidential nature. Notify the volunteer who runs the Sheppard’s Staff software of baptisms and deaths. The Administrative Assistant is only permitted to access membership files, not financial records. 4. Answer questions and requests which will require in-depth knowledge of parish policies and procedures. 5. Handle all aspects of telephone communication and ensure that incoming and outgoing messages are received and dispatched in a timely fashion. 6. Prepare correspondence for mailing and distribution of incoming mail. 7. Prepare recurring publications such as bulletins and newsletters in a timely manner. 8. Monitor stock levels of office supplies and ensure proper maintenance of office equipment is performed as needed. 9. Complete purchase orders for all invoices to be paid and file a copy. 10. Act as liaison between various groups, committees, and special interest outside groups. 11. Order cleaning /paper supplies for church as needed.
